AI Assistant & AI Receptionist

A chat on your website that answers and books — and an add-on that answers your phone

Overview

The AI assistant is a chat bubble on your Ozync website. Visitors ask about hours, prices, parking or whether you're open right now, and it answers from what's already on your site — then books the appointment or adds them to your waitlist without leaving the chat.

The AI Receptionist is the phone version: an add-on that picks up the calls you can't get to, books them, and texts the caller a confirmation. It's set up by Ozync for your business — see the end of this guide.

1

Turn On the Website Chat

Website editor → Details → AI assistant

Open the editor at ozync.com/site-editor (or More → Site in the app) and switch it on. Nothing else to install — the bubble appears on your site straight away.

The chat takes the place of the floating Call button in the corner of your site. Your phone number isn't hidden: a Call button sits in the chat header and in the site menu, so a visitor who would rather talk is one tap away.

2

Teach It About Your Business

More → AI assistant → Business knowledge

It already knows your hours, services and prices, address and phone from your Ozync account. Add the things that aren't on the site: where to park, what to avoid before a wax, your deposit or cancellation policy, the owner's name. Plain sentences work best — it quotes you.

  • •Anything not in your notes or on the site gets a "please call us" with your number, so it never guesses.
  • •Medical questions — allergies, skin conditions, what's safe during pregnancy — are always sent to a phone call, whatever your notes say.
  • •Your daily recap email lists the questions it couldn't answer, so you know what to add.
3

Let It Book

Settings → Online Clients → Online booking / Online waitlist

When online booking is on, the assistant offers real openings from your availability, asks for a name and phone number, and books. The appointment lands in your calendar like any other online booking — pending or confirmed depending on your approval setting — and the client gets the usual confirmation text. With the online waitlist on, it can add a walk-in to today's list the same way.

It won't book the same phone number twice for overlapping times, and each chat can make at most two bookings — enough for a couple, not enough for mischief.

How Much It Can Answer

Every business can switch the chat on. The free plan includes 50 visitor messages a month, answered from your site alone. The paid plan includes 500 a month, plus your Business knowledge notes and the usage counter on the AI assistant page.

When the month's allowance is used up the bubble stays on your site but tells visitors the assistant is resting and to call. It resets on the 1st.

AI Receptionist for Your Phone

Most salons miss calls while their hands are busy. The AI Receptionist answers those calls for you:

  • •Keep your number. Calls forward to the receptionist only when you don't pick up.
  • •Books appointments and adds callers to your waitlist, using the same availability as your website.
  • •Answers hours, services and prices from your Business knowledge — the same notes the website chat uses.
  • •Texts the caller a confirmation and sends you a summary of every call.

More → AI assistant → AI Receptionist → Request a demo

You can hear a sample call there first. Pricing is per business and the setup is done by Ozync, so the demo is where it starts — or email support@ozync.com.

Troubleshooting

The bubble isn't on my site

Check the switch under Website editor → Details, then reload the site. If you use a custom domain the change reaches it within a few minutes.

It gave a wrong price

It reads prices from your Services page. Fix the service there and the next answer is right — no re-publishing.

It won't offer times

Booking in the chat follows your online booking settings. Turn on online booking under Settings → Online Clients and make sure Availability has hours for the days visitors ask about.

It says it's "resting"

The month's messages are used up. The paid plan raises the allowance to 500 a month (Settings → Subscription).
