Stations & Walk-in Waitlist

Set up stations and manage walk-in guests in the Ozync app

When You Need This

Stations are for businesses that seat guests — restaurants, salons, threading/brow studios, barbershops, clinics. If you're only taking appointments, you don't need this. If you also run a walk-in waitlist and want to track who's seated where, follow the steps below.

Set Up Your Stations

Stations represent your tables, rooms, chairs, or any spot where you seat guests. Start by adding a few:

  1. Go to SettingsManage Stations
  2. Tap "Add Station"
  3. Give it a name (e.g. "Table 1", "Room A", "Bar Seat 3")
  4. Set the capacity — the min and max number of guests it can hold
  5. Repeat for each station in your business

Tip: You can customize what stations are called in Settings → Customize Labels. For example, a salon might use "Chairs" and a medical office might use "Rooms."

Share Your Walk-in QR Code

Walk-in guests join your waitlist by scanning a QR code with their phone — no app download needed.

  1. Go to SettingsQR Code
  2. Print or display the QR code at your entrance or front desk
  3. When guests scan it, they'll see a simple form to enter their name and party size

You can also add walk-in guests manually by tapping the "+" button on the waitlist.

Manage Your Waitlist

The main screen shows your waitlist on the left and your stations on the right. Here's the flow:

Notify

When a spot opens up, tap Notify to send the guest an SMS letting them know it's their turn

Seat

When the guest arrives, tap Seat and pick a station. The station will show as occupied with the guest's name.

Clear

When the guest is done, tap Clear on the station card to free it up for the next guest

Checkout (Optional)

If you collect payments, you can enable a checkout flow that runs when clearing a station:

  1. Go to SettingsPayment and toggle on Enable Payment Checkout
  2. Enable the payment methods you accept (Card, Venmo, Zelle, etc.)
  3. When you clear a station, you'll be prompted to enter the bill amount
  4. Choose a payment method and confirm — the station is freed up automatically

Card payments require a Stripe account. On an iPhone, Tap to Pay takes contactless cards with no extra hardware. See our Stripe Account Setup guide.

Quick Tips

Station colors — Stations are color-coded by status: available, occupied, reserved, and unavailable. You can see at a glance which spots are open.

SMS notifications — Enable SMS in Settings → Notifications to automatically text guests when it's their turn.

TV display — Show your live waitlist on a TV for guests to see. Check our TV Display Setup Guide.

Staff access — Add team members in Settings → Staff so multiple people can manage the waitlist.
